Welcome to VoiceCRM ("we," "our," or "us"). We are committed to protecting the privacy and security of your personal information and your clients' data. This Privacy Policy explains how we collect, use, store, and protect information when you use our iOS application and related services.
VoiceCRM is operated by IE Volodymyr Bondarchuk, registered at Nino and Ilia Nakashidze Street N 1, Tbilisi, Georgia 0144.
2. Information We Collect
We collect the following categories of information:
Account Information: Your name, email address, and authentication credentials when you create an account.
Client Data: Information you enter about your therapy clients, including names, session notes, mood tracking data, payment records, and supervision cases. This data is entered solely by you and is encrypted end-to-end.
Voice Recordings & Transcriptions: When you use our voice-to-text feature, audio is temporarily processed to generate text transcriptions. Audio recordings are not stored after transcription is complete.
Usage Data: Anonymous analytics about how you interact with the app, such as feature usage frequency and session duration. This data cannot be linked to individual users or their clients.
Device Information: Device type, operating system version, and app version for troubleshooting and compatibility purposes.
3. How We Use Your Information
We use your information exclusively to:
• Provide and maintain the VoiceCRM service
• Process voice transcriptions into text notes
• Sync your data across your Apple devices via iCloud
• Send you important service notifications and reminders
• Improve our app's performance and user experience
• Provide customer support when requested
• Comply with legal obligations
We do not sell, rent, or share your personal data or your clients' information with third parties for marketing purposes. Ever.
4. Data Security & Encryption
We implement industry-leading security measures to protect your data:
End-to-End Encryption: All client data, session notes, and transcriptions are encrypted using AES-256 encryption both in transit and at rest. Only you can decrypt and access your data.
HIPAA Compliance: Our infrastructure meets Healthcare Insurance Portability and Accountability Act (HIPAA) standards for protecting sensitive health information.
Secure Infrastructure: Data is stored on encrypted servers with multi-layer security, regular security audits, and intrusion detection systems.
Zero-Knowledge Architecture: We cannot read, access, or view your client data or session notes. Your encryption keys are managed on your device.
5. Data Storage & Retention
Your data is stored securely on encrypted servers and synchronized through iCloud across your Apple devices. We retain your data for as long as your account is active.
If you cancel your subscription, you have 30 days to export all your data in standard formats (CSV, PDF). After this period, your data is permanently and irreversibly deleted from our servers.

6. Voice Transcription Processing
When you use our voice-to-text transcription feature:
• Audio is securely transmitted to our transcription servers using encrypted connections
• The audio is processed by our AI-powered transcription engine
• The resulting text is encrypted and attached to the relevant client record
• Original audio recordings are immediately deleted after transcription — we do not store audio files
• Transcription data is never used to train AI models or shared with third parties
7. Third-Party Services
We use the following third-party services:
Apple iCloud: For data synchronization across your devices. Subject to Apple's privacy policy.
Apple App Store: For app distribution and subscription management. Subject to Apple's terms of service.
We do not integrate with any advertising networks, social media tracking, or analytics platforms that could identify individual users or their clients.
8. Your Rights
You have the right to:
• Access your personal data at any time through the app
• Export all your data in standard formats (CSV, PDF)
• Delete your account and all associated data
• Correct any inaccurate personal information
• Restrict processing of your data in certain circumstances
• Object to data processing where applicable

9. Children's Privacy
VoiceCRM is designed for licensed mental health professionals, psychology students, and therapists. Our service is not intended for use by individuals under the age of 18. We do not knowingly collect personal information from children.

We may update this Privacy Policy from time to time. We will notify you of any material changes through the app or via email. Your continued use of VoiceCRM after changes take effect constitutes acceptance of the revised policy.
